Effective Document Formatting Makes an Impact

Precise formatting makes your document easier to read and understand. It improves visual appeal, and it gives a professional impression. Together, this encourages the reader to focus on the document, which improves engagement and comprehension of the material.


For the modern audience, large blocks of text are difficult to absorb and interpret; therefore, help your reader as much as possible by integrating visual appeal into your document.


Key Formatting Features

At the minimum, break your content into categories by using sub-headers. Think of these as chapter or section breaks offering key title words. This helps the reader focus on each topic addressed in the document.


List Points

Consider using list points (bullet points) in your document to highlight a series of ideas or related concepts.

  • Categories

    List points help your reader easily understand multiple points that are related under a single category.

  • Comprehension

    It breaks up dense content into digestible parts that are easier to understand and remember.

  • Visual Appeal

    It is also more visually appealing to have more white space on the page.


Pro Tip: Use Short Lists

Short lists are the most effective. Long pages of list points (without sub-headers) do not improve comprehension because it's still a lot of text. Add sub-headers to break up the list, or turn the points into paragraphs.


Tables

Tables are an effective way to divide related information into a visually appealing list. Tables can easily summarize sub-topics into a visual list that shows the relationship between the topics.


If you find yourself describing related topics in paragraph form, it may be helpful to use a table (or other visual graphic) to show how the topics are related. This greatly improves reader comprehension.

Section and page breaks are invisible, so it can be difficult to track these after they are inserted, unless you turn on the paragraph and hidden text markings tool.

Correct formatting, alignment, and spacing of image labels are essential for a professional document.
